1. Bookings and payments
1.1 All classes must be booked in advance via the Studio’s booking system (Mindbody).
1.2 Payment must be made at the time of booking.
1.3 Class packs and memberships are non-transferable and non-refundable.
1.4 Expiry dates apply to class packs and will not be extended except at the Studio’s absolute discretion.
2. Monthly memberships
2.1 Monthly memberships operate on a recurring monthly payment basis.
2.2 Memberships require a minimum of 30 days’ written notice to cancel. Notice must be submitted in writing via email to info@repertoire-reformer.com
2.3 The 30-day notice period begins from the date written notice is received.
2.4 Payments due during the notice period remain payable in full.
2.5 Failure to provide proper notice will result in the next monthly payment being taken.
2.6 Memberships are non-transferable, credits do not roll over with a membership.
2.7 Membership freezes may be granted at the Studio’s discretion and may require written request for up to 2 months.
3. Cancellation policy (Classes)
3.1 Clients must cancel at least 24 hours before the scheduled class start time.
3.2 Late cancellations or no-shows will result in:
- Loss of the class credit; or
- A late cancellation fee (if applicable).
3.3 The Studio reserves the right to cancel or reschedule classes where necessary. In such cases, a class credit will be provided.
4. Health and fitness declaration
4.1 By attending classes, you confirm that:
- You are physically fit and have no medical condition preventing safe participation;
- You will inform the instructor of any injuries, medical conditions, or pregnancy prior to class
- You have sought medical advice where appropriate.
4.2 Participation is at your own risk.
5. Assumption of risk
5.1 Reformer, Chair and Tower Pilates involves physical exertion and use of specialist equipment.
5.2 You acknowledge inherent risks including but not limited to:
- Muscle strain
- Sprains
- Falls
- Equipment-related injury
5.3 You voluntarily accept and assume all risks associated with participation.
6. Waiver and release of liability
6.1 To the fullest extent permitted by law, Repertoire Reformer Ltd, its directors, instructors, employees and contractors shall not be liable for:
- Injury, loss or damage sustained during participation;
- Loss or damage to personal property brought onto the premises;
except where such loss or injury results from the Studio’s negligence.
6.2 Nothing in these Terms excludes or limits liability for:
- Death or personal injury caused by negligence;
- Fraud or fraudulent misrepresentation;
- Any other liability which cannot be excluded under UK law.
6.3 You agree not to bring claims against the Studio for injury arising from risks inherent in Pilates participation except where caused by negligence.
7. Personal property
7.1 Personal belongings are brought onto the premises at your own risk.
7.2 The Studio accepts no responsibility for lost, stolen or damaged items.
8. Studio rules
Clients must:
- Arrive at least 5 minutes prior to class
- Wear appropriate exercise attire, including grip socks
- Follow the instructor’s guidance at all times
- Use equipment only as instructed
The Studio reserves the right to refuse entry or remove clients acting unsafely or disruptively.
9. Pregnancy policy
Clients who are pregnant must inform the Studio prior to participation and confirm medical clearance where appropriate.
Participation during pregnancy is undertaken at your own risk.
10. Late arrival
For safety reasons, clients arriving more than 5 minutes after the start of class may be refused entry and the class credit forfeited.
11. CCTV
11.1 CCTV may be in operation at the Studio for the purposes of:
- Security and crime prevention
- Health and safety monitoring
- Protection of staff and clients
11.2 CCTV footage is processed in accordance with UK GDPR and the Data Protection Act 2018.
11.3 Footage will only be accessed where necessary and retained for a reasonable period in line with the Studio’s data protection policies.
12. Data protection
The Studio processes personal data in accordance with UK GDPR and the Data Protection Act 2018. Personal information will be used only for legitimate business purposes and will not be shared unlawfully.
13. Amendments
The Studio reserves the right to amend these Terms at any time. Updated Terms will be made available via the Studio’s website and/or booking system.
14. Governing law
These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
Client acknowledgement
By attending a class, you confirm that:
- I have read and understood these Terms and Conditions
- I understand the risks associated with Reformer Pilates
- I voluntarily accept those risks, and
- I agree to the Waiver and Release of Liability provisions
